Property Manager / Executive Assistant (Real Estate Sector) - NottinghamWe are seeking an experienced, proactive, and highly organised Executive Assistant to support our real estate development and property portfolio management operations. This role is pivotal in ensuring the seamless functioning of the business by providing high-level administrative support, property management assistance, and basic project management.What’s on offer?

  • Basic salary of £28,000 - £35,000 (DOE)

  • Full time hybrid working - 3 days in the office, 2 from home

The ideal candidate will have exceptional responsiveness, integrity, and a strong work ethic, allowing the business owner to focus on strategic initiatives. You will be a trusted partner, capable of anticipating needs, resolving issues, and handling sensitive information with professionalism.Key ResponsibilitiesAdministrative Support

  • Manage calendars, schedule appointments, and coordinate meetings with clients, contractors, solicitors, accountants, and other stakeholders.
  • Handle correspondence, including emails, phone calls, and postal mail.
  • Prepare, review, and organise key documents such as contracts, leases, and other paperwork related to property transactions.
  • Liaise with utility companies, local councils, and service providers to resolve billing issues and other matters.
  • Track deadlines for certifications, such as gas safety checks, EPCs, and insurance renewals, ensuring compliance.

Property Management Assistance

  • Coordinate property maintenance and repairs by liaising with contractors, managing agents, and service providers.
  • Assist with administrative tasks related to tenant leases, renewals, and terminations.
  • Financial and Bookkeeping Support
  • Process invoices, expense reports, and maintain accurate financial records.
  • Monitor and reconcile property-related bills and chase outstanding payments when necessary.

Project Management Duties

  • Assist in due diligence, ensuring all necessary documents and reports are gathered and organised.
  • Liaise with contractors, architects, planning consultants, and other stakeholders on development projects.
  • Assist with the management of project timelines, schedules, and budgets to ensure timely and efficient completion of tasks.
  • Track progress of ongoing developments and provide regular updates to the business owner.

The Ideal Candidate

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role, ideally in real estate or property management.
  • At least 2-3 years of experience in a high-responsibility role requiring multitasking and initiative.
  • Responsiveness and Proactivity: Ability to handle urgent matters promptly and anticipate needs to stay ahead.
  • Integrity and Trust: Proven track record of handling sensitive information with discretion and professionalism.
  • Attention to Detail: Accuracy in managing financial records, contracts, and deadlines.
  • Exceptional Communication Skills: Professional verbal and written communication with clients, vendors, and team members.
