Project & Facilities Administrator

Our client is a leader provider of business support and finance in the region, who help to create jobs and grow the local economy.

They are now looking to add a Project & Facilities Administrator to their team, whowill contribute to delivery of Essex-based business support projects and business centre facilities management.

The successful candidate will be supporting colleagues to conduct day-to-day operations, reporting, services administration and coordination.

Duties (include but are not limited to)

Business Support:

  • To support the coordination of delivery related to Essex business support programmes.
  • To promote Essex business support programmes
  • To help with initial enquiry handling where required
  • To support the set-up and management of events
  • To provide administrative support in monitoring attainment of project outcomes/outputs
  • To maintain accurate and up to date records including regular and timely updating of CRM
  • To extract reports as and when required
  • To monitor and evaluate services, liaising with clients to obtain supporting evidence as required
  • To act as administrative support for business support activities in Essex
  • To support continual process and service improvement
  • To undertake such other tasks as considered appropriate by your Line Manager, Directors or Chief Executive

Facilities Management:

  • General Business Centre processes including reception, preparation of invoices and general call handling
  • Support the Centre Manager with:

- Set-up and closure of units- Ensuring units are ready to show at all times- Monitoring repairs and maintenance of the building- Managing meeting room bookings including preparation of rooms and refreshments- Support marketing of the Centre through newsletters, social media, tenant events, etc.

  • To undertake such other tasks as considered appropriate by your Line Manager, Centre Manager, Directors or Chief Executive

Person Specification

  • Experience of Microsoft software, specifically Word, Excel and PowerPoint
  • Customer Service skills essential
  • Experience of CRM and Content Management Systems
  • The ability to work as part of a team within an office environment, but also self-motivated to work alone
  • Ability to work with a range of people including the general public, partners and public sector colleagues
  • Ability to work to deadlines, with good time management and efficient work patterns
  • Ability to assimilate new information readily and to apply it practically
  • Flexibility to meet changing business needs.
