The Client is seeking to recruit a temporary full-time Academic Administrator to work in the College Office, the centre of academic administration. The successful candidate will be responsible for a number of assigned tasks including student induction and registration, the right-to-work for visa compliance, student reports, graduate scholarships, and bursaries and prizes. The post-holder will be responsible to the Student Administration Manager and will be an integral part of the College Office team.The College Office team is responsible for organising academic affairs. In addition to undergraduate and graduate admissions, these include outreach and access work, university and college examinations, scholarships, bursaries and prizes, academic strategy and progress, appointments of college teaching staff, academic discipline, welfare and student support. The Student Administration Manager line manages the three members of the College Office. The Outreach Officer takes responsibility for outreach and access activities. The Admissions Officer is responsible for both the College undergraduate and graduate admissions processes.

Main Responsibilities

  • Enrolment of new students (undergraduate and graduate) on eVision - we expect at least 300 new students
  • The issue of University cards and answering in-person queries from new students
  • Checking visas of overseas students (and some staff and visitors)
  • Printing and making up new student record files
  • Checking receipt of enrolment documentation and chasing up missing documentation
  • Administration of graduate scholarships, student prizes, awards and grants (including travel and study grants)
  • Responding to requests for academic transcripts and verifications
  • Administration of Client Association grants and awards

Additional Responsibilities

  • Assistance with the administration of College examinations
  • Assistance with the administration of undergraduate and graduate admissions
  • Assistance with undergraduate and graduate induction events and activities
  • Responding to general inquiries to the College Office, in person, by email and by telephone

In addition to their core duties, the Academic Administrator will be expected to assist and support day-to-day office administration as part of the College Office team. They may be called upon to act as first point of contact with visitors to the College Office.This job description focuses on the period between mid-September and mid-December.
