Administrator Responsibilities
Reporting directly to the Regional Studio Manager, your diverse responsibilities will include:
- Ensuring smooth day-to-day operations of the office and its facilities.
- Collaborating with Project Leads to support and coordinate key projects, ensuring timely delivery.
- Assisting the Office Manager in managing finances and resources for ongoing projects.
- Handling bookings, organizing meeting rooms, and overseeing all aspects of meeting coordination.
- Managing calls, welcoming guests, and ensuring a professional front-of-house experience.
- Coordinating staff events and team activities to maintain a vibrant office culture.
- Assisting with new starter inductions and ensuring a smooth onboarding experience.
With the current post holder set to go on maternity leave in August, our client is looking for someone to join soon, ensuring a smooth handover.

Administrator Experience
The ideal candidate will bring:
- A highly organized and proactive approach, with a collaborative and flexible attitude.
- Proven experience as an Administrator or Project Coordinator.
- Knowledge of office and facilities management or assistance.
- Experience handling front office duties with professionalism.
- Proficiency in Microsoft Office, particularly Excel, due to the financial nature of the tasks.
- Experience in small-scale event coordination or a willingness to take this on.
- Strong problem-solving skills, with the ability to anticipate needs and keep administrative tasks running smoothly.
Location
Based in OX1, this is a full-time role, working 37.5 hours per week from 9:00am – 5:30pm, with core hours of 10:00am – 4:00pm to allow for flexible and agile working. This fixed-term contract is for approximately 13 months, covering the full maternity leave period, including handover and return transition.
You will need to be on-site four days per week, with the flexibility to work from home one day each week. Although parking isn’t provided due to the central location, the office is easily accessible by public transport.
