Reed Public Sector is Urgently Looking for an Executive Assistant for a local authority in Oxfordshire

The Executive Assistant will provide administrative and secretarial support to allocated Directors / senior managers to facilitate the efficient running and development of the business. This is a pivotal role. The post holder will be responsible for ensuring there is effective coordination of all administrative matters between each of the services and with the senior leaders. The post works closely with the other Executive Assistant(s) to ensure that that key information is appropriately shared, and cover is provided where needed.

Responsibilities and main duties:

  • Provide a full range of secretarial, administrative and support services to the allocated Directors/senior managers.
  • Diary management, arranging meetings and the drafting, production and distribution of agendas and minutes.
  • Work collaboratively with the other support staff to ensure comprehensive provision of support is provided at all times.
  • Prepare reports and management information, including undertaking research as required.
  • Act as a first point of contact, filter calls, enquiries and requests to ensure that work is correctly prioritised.
  • Deliver excellent levels of customer service at all times to internal and external customers and work in accordance with agreed SLA’s.

Essential Criteria:

  • High level administrator/support role, where the emphasis is on prioritising, ownership, management of work streams.
  • Experience of working with a wide range of customers and stakeholders at all levels and able to demonstrate exceptional interpersonal and communication skills
  • Experience in organising events and co-ordinating the day.
  • Educated to GCSE level (or equivalent), including English and Maths at grade C or above
  • Confident in the use of ICT applications including Outlook, Word, Excel and PowerPoint, Reporting tools.
  • Good verbal and written communication skills, with the ability to assimilate large quantities of information quickly and produce accurate, timely minutes and actions.
