We are urgently seeking an experienced Executive Assistant for an immediate start in a temporary minimum 8-week placement with a local authority based in Oxford. The role is hybrid, requiring a mix of working from home and attending our Cowley Marsh site. The successful candidate will provide comprehensive administrative and secretarial support (including note taking) to allocated Directors/senior managers, ensuring the efficient operation and development of the business.

Day-to-day of the role:
  • Provide a full range of secretarial, administrative, and support services to the allocated Directors/senior managers.
  • Manage diaries, arrange meetings, and draft, produce, and distribute agendas and minutes.
  • Collaborate with other support staff to ensure comprehensive support is provided at all times.
  • Prepare reports and management information, including conducting research as required.
  • Act as a first point of contact, filtering calls, enquiries, and requests to ensure that work is correctly prioritised.
  • Deliver excellent levels of customer service to both internal and external customers and work in accordance with agreed SLAs.
  • Support the planning of events, liaising with the Communications team to coordinate bookings, materials, and marketing activities.
Required Skills & Qualifications:
  • Proven experience as an Executive Assistant or similar administrative role.
  • Excellent secretarial and administrative skills.
  • Strong diary management and organisational abilities.
  • Proficient in preparing reports and management information.
  • Ability to work collaboratively and provide support across teams.
  • Exceptional customer service skills.
  • Competent in using standard office software and communication tools.
