Role Description for Alumnae & Engagement Executive

Our client is looking to hire a dynamic individual for the role of Alumnae and Engagement Executive. This position provides the chance to be involved in a leading independent school and to play a key role in a collaborative team within a busy and engaging environment. The successful candidate will have the opportunity to handle various responsibilities, including interacting with a diverse group of stakeholders such as donors, parents, and alumnae. We are seeking a proactive individual with strong written and verbal communication skills, creativity, attention to detail, and excellent organisational and time management abilities. This is a full-time position with a competitive salary based on qualifications and experience, offering flexible working options. The successful candidate must be able to work outside office hours including occasional weekends and evenings when required.

Key Responsibilities:

Fundraising and Communications

Cultivate and nurture relationships with various stakeholders, such as donors, parents, alumnae, and community members, to enhance engagement and support fundraising initiatives. This includes aiding in campaign communications and event coordination.

Ensure donors receive proper recognition and appreciation through effective stewardship practices.

Support in compiling Development reports and drafting minutes for the Development Committee and Alumnae Committee

Foster positive relationships with colleagues and actively participate in collaborative efforts throughout the School.

Database and Research

Responsible for overseeing the management, maintenance, and analysis of the database system (Raiser's Edge).

Ensure accurate data input and updates for constituents, as well as managing annual data migration processes.

Process incoming gifts, including pledges, single donations, and regular contributions.

Conduct prospect research to gain insights into our community and identify potential new donors.

Events and Marketing

Contribute to the Marketing and Communication Strategy for the Development team, including organising high-quality annual events and sending regular email communications.

Coordinate and participate in Development events such as Alumnae' Day, Town and Gown Run, Benefactors' Evening, and parent social gatherings.

Utilise email marketing tools to create and distribute event invitations and updates, as well as news announcements.

Create both print and digital marketing materials, such as brochures, posters, and menus.

Manage the Development team's social media presence by implementing an annual strategy to improve communication with alumnae and other stakeholders, utilising platforms like Twitter, Facebook, LinkedIn, and Alumnae Connect.

Promote and enhance Alumnae Connect, an online platform that facilitates community engagement, career mentoring, work experience opportunities, and business networking.

Collaborate with the Alumnae Prefect to advocate for the advantages of Alumnae Connect and encourage participation from Sixth Form students and the wider community.

Organise and oversee the production of the annual alumnae magazine, contributing creatively to design, developing a content plan, conducting interviews, writing articles, proofreading, and ensuring timely publication.

Person Specification, Qualifications and Essential Experience

A strong educational background, which includes a degree or equivalent certification

Personal Attributes and Skills:

Possesses creativity and adaptability, able to work independently and collaboratively within a team

Demonstrates enthusiasm and self-motivation to deliver work to the highest standards

Exhibits excellent interpersonal and written communication skills

Has a keen eye for detail

Proficient in IT, specifically Word, Excel, and Outlook, with experience using Canva and/or Adobe Creative Cloud being advantageous

Capable of establishing positive working relationships with colleagues

Shows initiative in organizing tasks and managing workload effectively without constant oversight

Skilled in planning and executing high-quality events

Comfortable networking and representing the Development team and School

Maintains a high level of discretion and confidentiality due to the sensitive nature of the work

Projects a professional, welcoming, and friendly demeanour, with a commitment to exceeding expectations

Shares a common understanding of the principles, ethos, aims, and goals of the independent school sector.

To ensure all new and agency staff undergo the appropriate pre-employment DBS and other Right to Work checks, and that recruitment policies are followed.

Type of contract: Permanent, full time (40 hours per week, including evening and weekend work)

Hours of work: A nominal, 42 hrs per week

This is a full-time position with a competitive salary based on qualifications and experience, offering flexible working options. The successful candidate must be able to work outside office hours including occasional weekends and evenings when required.

Salary: 30,400 per annum
