Sales Administrator/Office Coordinator

Reed are delighted to be partnered with a company based in Summertown who are seeking a Sales Administrator/Office Coordinator for their Summertown office. This role is ideal for a candidate with excellent organisational and communication skills, who thrives in a fast-paced environment and demonstrates the ability to work under pressure. The successful candidate will support both the Sales and Planning teams, ensuring efficient office operations and high-level client service.
Day-to-day of the role:
- Register new buyers and prepare property brochures.
- Coordinate marketing and advertising efforts locally and with nearby offices.
- Manage KYC and anti-money laundering processes, liaising with internal onboarding and compliance teams.
- Oversee the invoicing process for the Sales and Planning teams, including debt collection to ensure timely payments.
- Maintain up-to-date window cards, brochure displays, and office systems.
- Liaise with potential buyers, arrange viewings, and manage diaries.
- Maintain client files and databases for Residential and Planning clients.
- Establish and maintain trusted relationships with clients to facilitate and accelerate the onboarding processes.
- Implement strategies for continuous improvement of business processes and increased efficiency.
- Perform general administrative duties as required by the teams, including event coordination and supporting the Head of Office with daily management tasks.
Required Skills & Qualifications:
- Proven ability to prioritise and coordinate tasks efficiently, ensuring all deadlines are met.
- Demonstrable experience supporting a team of professional fee earners.
- Excellent IT skills (Word, Excel, MS Outlook) and experience using KYC systems or similar.
- Strong communication skills, both verbal and written, with a background in customer service.
- Ability to establish and maintain effective working relationships with colleagues at all levels.
- Flexible and punctual, with a proactive approach to administration.
- Experience in client due diligence, including completing independent searches and sanction checks.
- Interest in working in a real estate/estate agency environment.
