Job Summary:

We are seeking a highly organized and customer-focused Hire Controller to manage the day-to-day operations of our equipment hire service. The ideal candidate will be responsible for overseeing the hire process from initial customer inquiry through to equipment return, ensuring exceptional service and operational efficiency.



Key Responsibilities:

  • Hire Coordination:

    • Manage customer inquiries and orders for equipment hire, ensuring accurate information is provided regarding availability, pricing, and delivery.
    • Process hire contracts, ensuring all terms and conditions are met and adhered to.
    • Plan and coordinate the delivery and collection of hired equipment with logistics teams.
  • Customer Service:

    • Act as the main point of contact for customers throughout the hire period, addressing any issues or queries promptly.
    • Provide product advice and recommendations to customers to ensure they are hiring the right equipment for their needs.
  • Inventory Management:

    • Monitor equipment availability and ensure sufficient stock levels for customer demand.
    • Liaise with the workshop and operations teams to schedule repairs, maintenance, and inspections on returned equipment.
    • Update and maintain accurate hire records in the system, ensuring equipment is correctly booked in and out.
  • Administration:

    • Produce quotes and invoices for hire contracts.
    • Manage credit control processes, ensuring timely payments are made by customers.
    • Prepare and maintain hire documentation and records, ensuring compliance with company policies and relevant legislation.
  • Health & Safety:

    • Ensure all hired equipment complies with relevant safety standards and is properly maintained.
    • Conduct safety checks and ensure all necessary documentation is completed for hired equipment.
  • Reporting:

    • Generate weekly and monthly reports on hire activity, revenue, and equipment utilization.
    • Provide feedback to senior management on potential improvements to the hire process.
