Finance Administration Assistant

  • Job Type: 37 hours, Monday to Friday

Here at Reed Carlisle we are exclusively working alongside a fantastic organisation who are seeking a Finance Administration Assistant to join their central staff team. This role is crucial for delivering efficient financial and administrative support across the organisation, including supporting the Board of Directors and delivering Finance, HR, and Payroll services. 

Day-to-day of the role:
  • Input data onto the finance system, including purchase orders, goods received notes, invoices, payments, receipts, and supplier information.
  • Manage the scanning, filing, and storage of financial records such as invoices, expense forms, and remittance advice notes.
  • Support the efficient ordering, coding, and authorisation of all goods and services purchased by the individual schools.
  • Monitor the preparation of invoices and collection of fees and monies due.
  • Assist in bank reconciliation and petty cash processes.
  • Manage debtors and creditors through processing of supplier statements, payment runs, and monitoring of relevant reports.
  • Support the VAT reclaim process.
  • Handle reception duties, including meeting and greeting visitors.
  • Coordinate internal and external meetings and events, manage incoming and outgoing post, and handle phone and email enquiries.
  • Attend meetings as a note taker and support the production of meeting papers and agendas.
  • Operate relevant equipment/ICT packages, including a bespoke finance package.
  • Ensure all records are stored and archived in a sensible, logical manner, providing a suitable audit trail.
  • Provide general administrative support, including photocopying, filing, and completion of standard forms.
  • Participate in training and other learning activities and assist colleagues in supporting the functions of the Trust.
Required Skills & Qualifications:
  • Experience in financial administration or a similar role.
  • Proficiency in using finance systems, ideally with knowledge of PS Financials.
  • Strong organisational and data entry skills.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple tasks and maintain attention to detail.
