Job OverviewWe are seeking an experienced Secretary / Personal Assistant to provide first class PA support to a team within a large national Chartered Accountancy firm. For this position we are seeking someone who has worked within professional services before.

PA Responsibilities include:

  • Complex diary management for Partners, arranging meetings and video conference calls, booking meeting rooms and refreshments etc.
  • Booking travel, organising trip itineraries and logistics. Completing expense claims
  • Dealing with emails.
  • Liaising with clients and others in a professional and polite manner, following up on any agreed actions
  • Taking a proactive approach to building relationships with clients and their assistants in a professional manner.
  • Assisting the team with the compliance process (you will be trained up on this.)
  • Providing support with the billing process, including raising bills and running reports.
  • Preparing and formatting documents, to include Letters of Engagement, reports, client accounts and various other correspondence.
  • Producing PowerPoint presentations.
  • Proof-reading documents.
  • Carrying out PDF manipulation.
  • Working with the Marketing Team when required, to help produce tenders documents and pitch material.

Required Skills and Experience

  • Excellent organisational, time management and attention to detail skills.
  • Good communication skills and able to manage expectations.
  • Able to work pro-actively and on own initiative.
  • Able to work flexibly around peak periods.
  • Ability to adapt working styles to individualsā€™ ways of working.
  • Maintain high levels of confidentiality and discretion at all times.
  • High levels of IT literacy in Microsoft Word, Outlook, Excel and PowerPoint.
  • Previous experience of arranging client events.
  • Previous experience of working within a busy corporate environment.
