Executive Assistant to CEO & COO – Trade Mastermin

Trade Mastermind is the UK’s leading business coaching platform for construction and trade businesses, founded by Joseph Valente. We’re on a mission to help business owners scale, grow, and succeed, and we need an exceptional Executive Assistant to support our CEO and COO.

Why This Role?

This isn’t your average PA role. You won’t just be managing diaries and booking travel—you’ll be the right hand to two of the busiest executives in the industry. From high-level admin to strategic projects, meetings, and travel, you’ll be at the heart of it all, keeping everything running seamlessly.

What You’ll Be Doing:

Executive Support & Organisation

  • Manage busy schedules – coordinate calendars, meetings, and travel.
  • Be the gatekeeper – handle calls, emails, and communications.
  • Prepare top-level documents – reports, presentations, and correspondence.
  • Work closely with key stakeholders – act as a crucial link between executives, teams, and clients.

Meetings & Events

  • Plan, organise, and attend meetings – take minutes and follow up on actions.
  • Arrange company events – workshops, leadership sessions, and team-building activities.
  • Be present at key business functions – including travel with the CEO when required.

Project Management & Strategy

  • Support strategic initiatives – help drive key business goals.
  • Keep track of projects – ensure deadlines and objectives are met.
  • Conduct research – provide insights and analysis to aid decision-making.

Confidentiality & Professionalism

  • Handle sensitive business information with complete discretion.
  • Maintain high levels of professionalism and integrity in all interactions.

About You

Essential Skills & Experience

  • Proven experience as an Executive Assistant or in a high-level administrative role.
  • Ultra-organised with exceptional time management skills.
  • Punctual and reliable – always one step ahead.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to think fast, solve problems, and stay calm under pressure.
  • A high level of discretion and professionalism when handling confidential matters.
  • Flexibility to travel with the CEO and work some evenings/weekends when needed.

Desirable Skills & Experience

  • Familiarity with CRM systems and project management tools.
  • Ability to work independently in a fast-paced environment.
