Medical Secretary

We are seeking a dedicated Medical Secretary to join our team at a large practice serving over 24,000 patients. This role involves providing secretarial support across two sites, ensuring efficient document management and communication within the healthcare setting. The ideal candidate will have excellent organisational skills and a commitment to high-quality patient care.

Day-to-Day of the Role:
  • Provide efficient document production service for GPs and Senior Management, including typing letters, reports, patient referrals, and minutes.
  • Monitor hospital referral letters via the e-Referral system and keep GPs updated with any issues.
  • Manage 2WW (Two Week Wait) referrals, ensuring they are sent and recorded appropriately.
  • Assist in managing the appointment scheduling system and organise transport for admissions as required.
  • Liaise and arrange meetings, including room bookings, and attend meetings to take minutes if needed.
  • Establish and maintain filing and administrative systems to ensure information is accessible and secure.
  • Handle incoming and outgoing calls, take messages, and address queries appropriately.
  • Maintain the computer clinic system accurately and securely.
  • Assist with gathering statistics and information when required and provide cover for other secretarial staff as needed.
  • Manage mail and perform death administration duties.
Required Skills & Qualifications:
  • Proven experience as a Medical Secretary or similar administrative role in a healthcare setting.
  • Proficient in word processing, audio typing, and general clerical work.
  • Excellent communication and interpersonal skills.
  • Ability to handle confidential information with discretion.
  • Competent in using healthcare databases and patient management systems.
  • Ability to work effectively both independently and as part of a team.
