Job Overview:
We are seeking a proactive and organized Admin Assistant to join our dynamic team based in Peterborough. The successful candidate will provide essential administrative support to ensure smooth and efficient office operations. This is an excellent opportunity for someone who is detail-oriented, with strong organizational skills and the ability to manage multiple tasks effectively.
Key Responsibilities:
- General Office Support: Assist with day-to-day office operations, including answering phone calls, responding to emails, and handling correspondence.
- Data Entry & Management: Accurately input and update data in various systems, ensuring information is up to date and readily accessible.
- Scheduling & Calendar Management: Coordinate appointments, meetings, and events. Ensure all team members are informed of schedules and updates.
- Document Management: Assist in preparing, filing, and organizing documents, both physical and digital. Maintain filing systems for easy retrieval of information.
- Customer & Client Liaison: Handle incoming queries from clients, suppliers, and colleagues in a professional manner. Direct inquiries to the relevant team members as needed.
- Office Supplies Management: Monitor office supplies, manage inventory, and place orders when necessary.
- Support to Senior Staff: Provide administrative support to senior team members, including drafting correspondence, preparing reports, and any other ad-hoc tasks as required.
- Team Collaboration: Work closely with other departments to ensure the smooth flow of information and support cross-functional projects when needed.
Skills & Qualifications:
- Experience: Previous administrative or office support experience is essential.Â
- Organizational Skills: Strong attention to detail with excellent time-management abilities. Ability to prioritize tasks and manage multiple responsibilities simultaneously.
- Communication Skills: Clear and effective written and verbal communication skills. Professional telephone manner and ability to handle inquiries courteously.
- IT Proficiency: Basic to intermediate knowledge of Microsoft Office (Word, Excel, Outlook). Experience with office software or management systems is a plus.
- Team Player: Ability to work well both independently and as part of a team.
- Adaptability: Flexible, with a positive attitude towards change and a willingness to take on new tasks.
