We are seeking a motivated Operational Support Assistant to join our Business Support team. The role will initially require office-based work, with the opportunity for hybrid working once full training is completed. The post holder will play a key role in supporting our customer-focused team within Regeneration, Economy and Growth, and Neighbourhoods and Climate Change.

Role Overview:

The post holder will work closely with other Operational Support Assistants and staff in Financial Support to ensure the smooth running of the department, particularly in areas such as P2P and raising accounts. They will also collaborate with other managers within the Management Team in Regeneration, Economy and Growth, and Neighbourhoods and Climate Change, as well as liaise with other Corporate Service functions to deliver "single" Council working.

Key Responsibilities:
  • Improve systems: Challenge existing processes to develop lean systems, encouraging the use of electronic data interchange, filing, and online input wherever possible.
  • Documentation development: Assist in the creation of procedural guidance notes and standard letters for various functions within the service.
  • Customer-focused team: Work within a customer-focussed team approach to provide back office support, ensuring effective communication and service delivery.
  • Team collaboration: Participate in team meetings and support continuous service improvement initiatives.
  • Risk identification: Assist in identifying risks within the service area to ensure efficient operations.
  • Invoice payment performance: Work with the team to improve the performance of payment of invoices.
  • Duty rotation: Rotate duties with other team members to ensure consistent coverage during periods of absence.
  • Support colleagues: Work with other members of Business Support to ensure that peaks and troughs in workloads are effectively managed.
Essential Criteria:
  • Experience in an administrative or support role with a customer-focused approach.
  • Strong communication skills, both verbal and written, to liaise effectively with colleagues and customers.
  • Problem-solving mindset and a willingness to challenge existing processes to improve systems and performance.
  • Proven ability to work flexibly and adapt to changing workloads.
Desirable Skills:
  • Previous experience working in a Business Support or similar administrative role.
  • Familiarity with P2P processes, financial systems, and managing customer enquiries.
  • Experience with Multi-Functional Devices for scanning and filing.
