  • To be responsible for the development and management of the Facilities Management Service, supporting the Head of Estates and contributing to the service strategy.
  • Lead, manage and develop Facilities Management teams across multiple service areas such as repairs and maintenance, porter, cleaning, catering, waste management, energy management, fleet management, and lettings.
  • Be responsible for compliance monitoring, budget planning, securing value for money contracts and working with stakeholders to ensure that staff, students and visitors work in a healthy and safe environment.
  • Deputise for the Head of Estates as and when required.
Duties and responsibilities:MANAGEMENT AND COMPLIANCE
  • To take responsibility for the ongoing management and development of all FM and related contracts and procedures across the Trust ensuring statutory obligations are met. 
  • To provide expert advice   on current and forthcoming legislation and ensure that legislation is being met across the Trust.
  • To take a lead role in developing and reviewing existing contracts, service level agreements and ways of working.
  • To support the Academy Site managers with local contract management issues and with procurement advice where necessary.
  • To assist in the planning of and to approve work schedules for the Trust’s Electrical and Mechanical Services Engineer which align with reactive and planned maintenance priorities across the Estates and ICT services and which also support the Capital Improvement programme.
  • To work with the Trust’s Health & Safety Manager to develop and implement interventions to ensure Health and Safety standards and culture is being adhered to.
  • To manage, update and monitor all FM and related activities across the Trust using the CAFM system, 
  • To embed service standards which contribute to overall Estates and FM service management goals. 
  • To coordinate with finance and procurement staff all FM and related procurement activity. 
  • To work with the Site teams and Headteachers to ensure the quality of delivery of Facilities Soft Services in Academies, by implementing appropriate policies, procedures, training programs, and through management of suppliers.
  • To lead on the delivery of projects related to service improvement, taking business requirements and translating these into service deliverables.
  • To monitor and review monthly Management Accounts, ensuring that service expenditure is within budget and value for money is being achieved.
  • To support the Head of Estates in leading internal committees, preparing agendas and writing reports, including Trust Board reports, as required.
  • To support the delivery of the Trust’s capital repairs and refurbishment programme. 
  • To oversee the letting of academy premises and development of all school facilities for out of hours use.
DEVELOPING A VALUE FOR MONEY CULTURE
  • To lead a comprehensive development programme to drive an increase in school lettings income and profit.
  • In conjunction with the Head of Estates, provide advice to the Trust on training requirements and support effective and efficient project delivery, securing value for money at all times.
  • To provide advice on how academies may drive efficiencies within services such as Cleaning, Catering and Waste Management. To share knowledge and best practice both regionally and across the Trust.
  • In conjunction with the Trust central finance team, manage the procurement of Facilities Soft Services, writing Facilities and related services tender documents, albeit in line with the Trust’s Procurement Policy, Standards and Procedures, and contract managing all third-party suppliers.
