Location: Philpstoun, West Lothian

About the Role:
Neo Recruitment is seeking a dedicated Administrator to join our client's dynamic team. As an Administrator, you will play a crucial role in maintaining high communication standards and ensuring the efficient transfer of information, contributing to the company's ongoing growth and success. You will work within the admin/finance team, reporting directly to the Executive Secretary, and be instrumental in fostering excellence, enhancing service levels, and building strong relationships.

Key Responsibilities:
- Admin. Inbox Management:Handle incoming queries and emails, directing them to the appropriate team members as needed.
- Invoice Processing: Enter invoices into Xero, print statements, and save remittances in the designated folder.
- Supplier Reconciliation: Conduct regular reconciliations of supplier statements.
- Relationship Building: Develop and maintain strong relationships with key suppliers.
- Business Compliance: Oversee business compliance activities, including insurance, O License, and road tax.
- Reporting: Create and maintain a reporting structure for revenues versus costs by customer and region.
- Month-End Duties: Perform month-end reconciliations and related tasks.
- IMS Maintenance: Ensure the maintenance and accuracy of the Integrated Management System (IMS).
- Holiday Planning: Manage the holiday planner and coordinate associated cover.
- Office Supervision: Oversee office maintenance, supplies, and attendance.
- IT Support: Coordinate with the outsourced IT company for necessary IT support.
- General Administration: Provide administrative support to Directors as required.

Experience, Education & Qualifications:

Essential:
- Demonstrable experience in a similar role, with a track record of driving excellent service levels and building relationships.
- Strong IT skills, including proficiency in Microsoft Office and system processing.
- Professional and personable demeanor, capable of integrating into a small team.
- Self-motivated, diligent, and trustworthy with excellent communication skills.

Desirable:
- Experience with Xero.
- Some knowledge of transport and organic resource management operations.

Working Hours:
- Monday to Friday, 08:30 - 17:00
- This role is 100% office-based in Philpstoun, West Lothian.
