We are seeking a proactive and organised Administrative Support Officer to join our team. In this role, you will provide essential administrative support to ensure the smooth operation of our services, with a focus on supporting children’s services.
Key Responsibilities- Provide comprehensive administrative support to the team, including managing inbox tasks such as printing, photocopying, and distributing petty cash.
- Update children’s services databases as directed, ensuring accuracy and confidentiality.
- Handle incoming telephone calls, fielding inquiries appropriately and taking messages as required.
- Manage confidential waste in accordance with organisational policies.
- Undertake general office duties, including scheduling appointments, booking meeting rooms, and updating diaries.
Additionally, you will be required to perform other duties commensurate with your grade, as reasonably directed by the Service Director. You will also comply with the Council’s Health and Safety Policies and contribute to our commitment to tackle Climate Change and meet Carbon Reduction targets.
All staff play a crucial role in safeguarding. If you have any concerns regarding the safety of a child or adult at risk, you must report this immediately to your Line Manager or the Designated Safeguarding Lead.
Person SpecificationKnowledge / Qualifications:
Essential:
- A good standard of education.
- Proficiency in IT programmes.
- Ability to maintain confidentiality.
- Numerate and able to work with a range of data.
- Friendly and approachable manner.
- Ability to work with diverse individuals.
Desirable:
- HNC or equivalent qualification.
- Understanding of Child Care Systems.
- Familiarity with Child Care Legislation.
- Office management experience.
Experience:
Essential:
- Experience working in an office environment.
- Proficient in computer input and data retrieval.
- Ability to prioritise daily activities and manage time effectively.
- Capacity to relate to and work collaboratively with other professionals.
- Initiative to work independently while recognising when to seek guidance.
- Strong communication skills and the ability to maintain good working relationships.
