Aspire Jobs are delighted to be working with our client who are a well-established family run business who are now looking to recruit an Executive Assistant on a 1-year maternity leave contract at their Head Office based in Poole.

The successful Executive Assistant will provide comprehensive EA and administration support to the Senior Management Team. You will be professional, a confident communicator, highly organised and able to work well under pressure. You will be dependable, dedicated and able to deal with sensitive matters with discretion.

The successful Executive Assistant will: -

  • Have proven PA/Executive Assistant experience at a senior level.
  • Have exceptional organisational skills.
  • Have strong time management skills.
  • Possess effective communication skills, both written and verbal.
  • Be professional and able to oversee matters with sensitivity and discretion.
  • Be proficient with MS Office applications.
  • Be able to multitask and work with ever-changing priorities.
  • Have a positive, pro-active attitude.
  • Be able to work well under pressure and adhere to strict deadlines.

Key Responsibilities of the Executive Assistant: -

  • Manage all incoming correspondence and communication, via emails, letters, and phone calls.
  • Provide comprehensive administrative support to the Senior Management Team.
  • Diary Management
  • Arrange meetings including preparing presentations, agendas for meetings and taking minutes.
  • Manage all travel requirements and arrange accommodation.
  • Build and maintain good working relationships with clients, stakeholders, and the Senior Management Team.
  • Assist with projects and events.
  • Process all expenses.
  • Preparing reports.
  • Prepare presentations to support the Marketing team.
  • Maintain the filing systems, both electronic and physical filing systems.
