Job Title: Business Officer (Committees)

Location: Home based (with the occasional visit to the head office IHEEM, 2 Abingdon House, Cumberland Business Centre, Fratton, Portsmouth, PO5 1DS).

Salary: Salary starting at 35,000 payable monthly in arrears.

Job Type: Full-time / Permanent

Job Hours: 35 per week between 08:00 - 17:00 Monday-Friday (flexible) - Occasional evening or weekend work may be required, e.g. annual conference or travel to meetings.

The Role:

Under the direction of the Chief Operating Officer you will be responsible for all aspects of servicing the Specialist Technical and Advisory Platforms and associated Registration Boards, ensuring they adhere to their terms of reference and internal governance and supporting management of our branches.

Key Responsibilities:

Secretarial Responsibilities:

  • To organise and arrange face to face or conference call meetings for the Specialists Technical Platform and Advisory Platforms and the Associated Registration Board(s)
  • Distribute all necessary paperwork prior to meeting
  • To minute meetings and circulate to committee members
  • Liaise with committee members via email, in writing or telephone

Technical Guidance:

  • Lead on administering the Technical Guidance feedback process to NHSI
  • Be the point of contact for NHSI in relation to technical guidance feedback on HTMs
  • Administer the NHSI hub for downloading and uploading feedback
  • Circulate and collate information to and from the Platforms
  • Work with Events and Marketing team to ensure delivery of a range of specialist technical update seminars for our members across the UK and Ireland

Corporate Responsibilities:

  • To ensure all meetings adhere to the terms of reference
  • Ensure appropriate election processes are followed for committee positions
  • Participate fully in setting personal objectives in line with the business plan, producing your personal development plan and performance measurement
  • Adopt and work within the Institute's values and behaviours
  • This is not an exhaustive list of duties and you may be expected to take on other tasks and responsibilities as necessary.

About you:

Qualifications:

  • 5 GCSEs grades A-C including maths and English
  • Business related qualification (Desirable)

Knowledge:

  • How to service committees
  • Understanding of how to support and manage a group of individuals
  • Understanding of Engineering as a career (Desirable)

Experience:

  • Previous experience of servicing committee meetings
  • Able to build and manage strong relationships with external stakeholders and teams
  • Demonstrates a logical and methodical approach with attention to detail
  • Proven organisational skills
  • Worked within a membership-based organisation (Desirable)
  • Experience of establishing educational seminars (Desirable)
  • Experience in the not for profit sector and working with volunteers would be beneficial (Desirable)

Systems:

  • IT literate
  • Ability to use Microsoft Word and Excel (Desirable)

  • Good communicator - both verbal and written
  • Good telephone manner
  • Confident, assertive and influential
  • Well-presented and professional representative for the business
  • Ability to work as part of a team
  • Ability to delegate
