Our client is a boutique law firm with a strong reputation for specialist insolvency and restructuring practice areas with offices in Portsmouth, London and the East of England.

We are now seeking a dedicated and highly organised Executive Assistant to support 3 Directors in their day-to-day activities. This role would suit someone with a background in legal or professional services, such as accountancy.

To be successful in this role:

The ideal candidate will be proactive, detail-oriented and organised, with great inter-personal skills and high attention to detail. Previous experience in a similar role, preferably within a professional Legal services environment would be highly beneficial. Other requirements for this role include:

A high level of discretion when working with sensitive and confidential matters

Exceptional attention to detail and the ability to produce high quality work quickly

Excellent communication skills - capable of being clear, concise, and precise

The ability to: manage multiple tasks; solve problems; manage and meet deadlines

The ability to take responsibility and accountability for work, ensuring that matters are

progressed independently

A good working knowledge of the Microsoft suite, including Outlook, Excel, Word, and PowerPoint

Excellent organisational and interpersonal skills, together with the ability to work as part of a

diverse team

Familiarity with solicitors financial and practice management systems desirable but not essential

Job role and responsibilities:

The role will be responsible for managing the professional schedules of the Directors, including diary management, making travel, accommodation and meeting arrangements, event management, client billings, preparing and reviewing slide decks and other presentation material and documents and other ad-hoc tasks to assist the Directors. The role will also include the overall administrative management of the Portsmouth office.

Supporting marketing/ business development

Maintaining databases

Creating and formatting branded documents, including letters and PowerPoint presentations

Processing invoices, expenses and other payment requests

Drafting correspondence & documentation and checking/proofreading documents

Being point of contact for some clients, prospects, contacts, other third parties and staff

Dealing with work, professional and administrative enquiries

Monitoring/ answering mail, emails and telephone calls etc as appropriate

Assistance with client billings and office accounts/ budgets

Supporting the team with management reporting

Assistance on other ad hoc matters, such as project managing tasks and projects

Maintaining strict confidentiality, diligence and professionalism
