We are seeking an organised and detail-oriented Office Administrator to join a dynamic team. The successful candidate will be pivotal in providing administrative support to ensure the efficient operation of our office. This role is ideal for someone who thrives in a fast-paced environment and possesses excellent communication skills, a keen attention to detail, and the ability to manage multiple priorities effectively.

Day-to-day of the role:
  • Office Management: Manage office supplies, equipment, and staff refreshments. Greet visitors and provide hospitality services. Handle office correspondence, maintain organized filing systems, manage petty cash, and oversee incoming and outgoing post. Serve as the local contact for the Landlord and attend quarterly review meetings.
  • Scheduling and Coordination: Manage team calendars, schedule meetings, arrange catering, and coordinate logistics for internal and external events, including the annual company meeting. Arrange travel and accommodations for the Executive Directors and team as needed.
  • Communication: Serve as a point of contact between the company and external partners, customers, and suppliers. Handle all incoming calls, emails, and visitors with professionalism and courtesy.
  • Record Keeping: Maintain accurate records of company documents such as contracts, reports, and policies. Assist in the preparation of documents and presentations.
  • Data Entry and Reporting: Perform data entry tasks and generate reports. Utilize software tools to ensure data accuracy and facilitate efficient tracking of information.
  • Support Head Office Function: Provide support to various departments with special projects, research, and administrative tasks. Assist the HR Coordinator as needed.
  • PA Duties: Provide personal assistant duties for the Executive Directors on an ad-hoc basis.
  • Compliance: Assist in ensuring compliance with company policies, procedures, and relevant laws and regulations.
Required Skills & Qualifications:
  • Education: A Level standard or equivalent professional qualifications.
  • Experience: At least 2 years in an administrative role.
  • Communication Skills: Excellent verbal and written communication skills.
  • Organisational Skills: Exceptional organisational skills, attention to detail, and the ability to efficiently manage multiple tasks and priorities.
  • Interpersonal Skills: Strong interpersonal skills with the ability to build and maintain positive relationships.
  • Technical Proficiency: Proficient in Microsoft Office suite and comfortable with learning new systems.
  • Confidentiality: Ability to handle sensitive information discreetly.
  • Customer Service Orientation: Committed to providing excellent customer service with a friendly and approachable demeanour.
