Our client who specialises in large scale repair and maintenance coordination is looking for a very efficient, proactive administrator with the ability to multitask and work within an ever-changing dynamic environment.

Your role is to make sure materials are allocated and scheduled to the operatives and subcontractors so works can be completed whilst also providing administrative assistance to the fleet management team also.

Key Responsibilities…

  • Assist the Materials Manager to manage the day’s deliveries and collections of materials and equipment.
  • When sending out materials, organise and schedule the delivery drivers’ time and activities in the most efficient and effective way.
  • Monitor pulled materials/equipment & van stock order screens checking statuses to identify potential issues before they happen, own these issues through to resolution.
  • Plan for future deliveries, be aware of any issues that could prevent you from meeting the delivery appointments.
  • When issues/queries are identified escalate to your line manager/supervisor to ensure it gets acted upon and resolved.
  • Assist the Store person with administrative asset compliance ensuring registers are logged and all safety checks (where applicable) are carried out.
  • Assist with the administration of company vehicle tracking system.

Skills Required

  • Comfortable in a dynamic and evolving environment and enjoying the challenges.
  • A professional telephone manner and effective communication skills
  • Have good typing skills and a confident computer system user including MS Office and job management systems
  • Ability to multitask, remain focused on what you are dealing with and completing the task you are on before moving on to the next.
  • Understand what it is to be part of a team and clear communication
  • Be flexible in your working hours to be able to support the delivery of the service; be reliable and dependable.

Knowledge Required

  • Logistic and scheduling experience would be ideal
  • Good Geographical knowledge of Portsmouth required

Additional Information

  • Working hours – 8am – 5pm Monday to Friday (40 hours per week)
