OFFICE ADMINISTRATION ASSISTANT

POTTERS BAR

SALARY UP TO £25K DEPENDING ON EXPERIENCE

Our client is a prominent M&E company based in Potters Bar, specialising in delivering high-quality commercial and domestic projects.

As part of their expanding team, they are seeking an enthusiastic Office Admin Support professional to assist the team with document control, Health & Safety (H&S) support, procurement and general office administration. This role offers great potential for career progression based on the area you are passionate about. You will report to the Office Manager but will have working relationships with the whole team including the Directors.

Key Responsibilities:

Document Control

  • Organise, and maintain project-related documents, ensuring all records are properly filed, up-to-date, and accessible.
  • Maintain document control procedures, ensuring version control and document compliance.
  • Assist project teams with document preparation, distribution, and tracking for all projects.
  • Ensure that all documentation meets company standards and external regulatory requirements. Collate and manage the O&M process for the end of each job.

General Office Administration

  • Handle day-to-day administrative tasks, including answering calls, responding to emails, and managing correspondence.
  • Schedule meetings, prepare agendas, take minutes, and follow up on action points.
  • Order and manage office supplies, equipment, and inventory to ensure the smooth running of office operations.
  • Assist with basic finance-related tasks, including invoice tracking and expense management.

Team & Project Support

  • Provide general administrative support to project managers, site teams, and the wider office team.
  • Marking up architectural drawings and providing quantities of materials for tender / procurement purposes.
  • Ensure personnel records are maintained and kept up-to-date, including contracts, certifications, and training documentation.

Skills & Qualifications

  • Previous experience in an administrative role would be ideal.
  • Great organisational skills with attention to detail to ensure you have the foundations to learn document control systems and procedures.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and experience with document management systems.
  • Ability to handle multiple tasks and prioritise effectively.
  • Excellent written and verbal communication skills.
  • Ability to work well in a team as well as independently.
