Role Overview:
As a Subcontractor Management & H&S Administrator, you will play a vital role in ensuring the successful delivery of services through effective subcontractor coordination and adherence to health and safety standards. Your excellent organizational skills and knowledge of CAFM systems will be essential to your success in this position.
Key Responsibilities:
* Subcontractor Coordination: Identify, liaise with, and arrange subcontractor attendance for both reactive works and pre-planned maintenance, ensuring compliance with contractual agreements and KPIs.
* Health & Safety Compliance: Collate and approve risk assessments, method statements, and permit requirements before work starts. Conduct onsite audits to ensure strict adherence to Health & Safety regulations and RAMS (Risk Assessments and Method Statements).
* Inductions & Checks: Complete inductions and pre-work checks for subcontractors, ensuring these remain up-to-date and valid.
* Contract Management: Track subcontractor contracts, supporting annual re-negotiations, focusing on cost, location, expertise, and response targets.
* Data Analysis & Reporting: Run and analyze data reports to manage KPIs, identifying areas for improvement and optimizing processes.
* System Documentation: Accurately record and evidence job-related information on IT systems, ensuring statutory compliance.
* Collaboration & Communication: Work closely with contract managers, helpdesk colleagues, and external clients to meet business KPIs while maintaining strong working relationships.
* Process Improvement: Continuously review internal processes and suggest improvements to enhance the efficiency of the supply chain.
* Customer Service: Provide exceptional customer service, ensuring clear and professional communication with clients and subcontractors at all times.
Key Skills & Experience Required:
* Experience in a similar role or relevant trade background.
* Strong administration skills with a high level of organization.
* Knowledge of Maximo or a similar CAFM system is preferred.
* Excellent verbal and written communication skills.
* Analytical mindset with strong customer service abilities.
* Ability to multi-task, prioritize, and adapt to changing demands.
* Proficiency in IT, particularly Excel, for data analysis and reporting.
* Ability to generate ideas for process improvements.
