Randstad C&P is currently looking for an experienced Sub Contractor Coordinator to join our client's team in Preston. The successful candidate will be well organised and have a knowledge of Maximo or similar CAFM system is preferable. Excellent communicator both verbal and in writing, analytical and organisational skills (customer service skills) and the ability to multi-task and prioritise. Strong IT skills including Excel.

Key Responsibilities:
- Subcontractor Management:
- Identify, liaise with, and arrange subcontractor attendance: based on contractual agreements for both reactive works and planned maintenance, ensuring alignment with KPI targets.
- Collate and approve associated risk assessments, method statements, and permit requirements: prior to work starting.
- Book subcontractors into sites: following customer guidelines and ensuring strict compliance with H&S regulations and RAMS.
- Complete inductions and pre-work checks: ensuring their currency and validity.
- Track subcontractor contract terms: and support annual re-negotiations, considering cost, location, expertise, and response targets.
- Process Optimization:
- Run and analyze data reports: to manage KPI targets and identify solutions for process improvement.
- Accurately record and document all job-related information: on appropriate IT systems, ensuring compliance with statutory and mandatory requirements.
- Collaborate with contract managers, schedulers, and helpdesk colleagues: to achieve business KPIs.
- Continuously review internal processes: and make recommendations for improving the efficiency of the Supply Chain function.
- Ensure clear communication with clients and subcontractors: adhering to security and Health & Safety procedures.
- Provide consistent and exceptional customer service: dealing with interactions professionally and efficiently.
- Analyze work order progression and completion: ensuring accurate system updates.
- Reassign subcontractors when necessary: for unresolved work orders.
- Communicate effectively with peers and management: to drive service excellence.
- Effectively manage risks: and escalate when necessary.
- Attend relevant training: as directed by the line manager.
- Monitor and guide subcontractor engineers: to adhere to schedules and take necessary actions.
- Adapt to new tasks: directed by management and align with business needs.
Requirements:
Experience:
- Experience in a similar role or a trade background.
- Administration experience.
Technical Skills:
- Knowledge of Maximo or a similar CAFM system is preferable.
- Strong IT skills, including proficiency in Excel.
Communication & Collaboration:
- Excellent communication skills, both verbal and written.
- Strong analytical and organizational skills with a customer service focus.
- Ability to multi-task and prioritize effectively.
- Ability to generate, develop, and present ideas and suggestions for improvements to achieve more effective working practices.
Health and Safety Responsibilities:
- Follow Group and company policies and procedures at all times.
- Report any apparent deficiencies in systems of work or equipment that may result in failure of service delivery or risk to health and safety or the environment.
- Use all work equipment and personal PPE properly and in accordance with training received.
- Report any issues or training needs to your Line manager and/or via your divisional incident reporting system.
