Overview

A growing multi-service law firm is seeking a highly motivated individual to join its expanding Conveyancing team. The role primarily involves handling initial tasks for new conveyancing matters, including providing quotes, managing client inquiries, and assisting with file opening procedures. The ideal candidate will possess excellent customer service skills, a sound understanding of the conveyancing process, and the ability to manage administrative tasks efficiently. Full training will be provided for candidates with strong customer service experience, even if they lack prior conveyancing knowledge.

Key Responsibilities

  • Responding to new client inquiries and providing accurate conveyancing quotes
  • Engaging with clients over the phone to take instructions, address queries, and ensure smooth communication
  • Confirming new instructions from referrers and updating them accordingly
  • Managing the opening of new files, including completing necessary tasks such as setting up the file, conflict checks, and contacting relevant parties
  • Coordinating client onboarding requirements including processing payments, conducting ID checks, and gathering necessary property information (EPC, Map Search)
  • Building strong relationships with referrers to become their primary point of contact for new instructions
  • Assisting walk-in clients with new inquiries
  • Maintaining accurate records on spreadsheets and managing all documentation for new matters
  • Meeting monthly targets related to new instructions and quotes
  • Providing support with additional administrative tasks as needed, including managing appointments, handling messages, photocopying, scanning, and following up with clients, solicitors, and other relevant parties
  • Supporting post-completion work with training provided, when applicable
  • Ensuring compliance with procedures and maintaining client care standards in line with The Law Society's Conveyancing Quality Scheme

Ideal Candidate

  • Prebious Conveyancing background is desriable but not essential
  • Customer service skills
  • Working effectively to meet deadlines and targets
  • Managing a high volume of new matters while ensuring quality service
  • Navigating a computerised case management system
  • Balancing urgency with high standards of client service
  • Required Skills & Experience
  • Exceptional customer service skills with a friendly, professional telephone manner
  • Strong organisational and communication skills
  • Excellent fact-finding and problem-solving abilities
  • Ability to work independently and take initiative
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience using PROCLAIM software is desirable but not essential
  • Ability to work well under pressure and manage competing priorities
  • Strong team player with a "can-do" attitude
