IntroductionButler Rose Public Practice Northern Division is delighted to be working with a reputable accounting firm currently recruiting an experienced & Senior Payroll Administrator for their offices in Preston. You will be joining a team that offer a dynamic and supportive environment with a focus on client relationships. This office specialises in serving owner-managed businesses, family firms and various other sectors including manufacturing, property and health-care amongst others. They prioritise professional development work and you'll be working with experienced partners with excellent presence in the local area.Key Responsibilities

  • Payroll Processing
  • Prepare and process accurate and timely payroll using computerised payrolls
  • Manage PAYE, NI, and RTI submissions
  • Informing clients of the PAYE liabilities due
  • Generate and distribute payslips and employer reports
  • Send the payslips by post and upload to the portal

Auto Enrolment:

  • Guide clients through auto enrolment requirements
  • Manage pension scheme setup and administration
  • Completing pension payments templates- excel/CSV files for submitting to Pension provider
  • Completion of 6 month declaration to Pension Regulator
  • Ensure compliance with pension regulations
  • Identifying staging dates for clients
  • Providing information about pension company alternatives
  • Advising on deferment on set up
  • Help registering and employee set up information letters
  • Set up scheme within payroll software
  • Running appropriate pension letters with payroll
  • Dealing with re-enrolment
  • Liaising with clients where necessary

Year End ProcessesCompletion of year end P60 forms, final end of year submissions including:

  • Migration of software to next tax year
  • Dealing with the preparation and submission of CIS returns
  • Dealing with HMRC by phone, email and other means

You are probably thinking about your reporting line so let me answer that question for you.

  • As Payroll Administrator, you will be responsible to the Directors/ Partners and the Payroll Manager. You will also have additional support and guidance from the Payroll and Office manager in connection with duties associated with this position however you will be solely responsible for the payroll processing.

Now let's focus on your portfolio and get down to the specificsYou will be managing a payroll portfolio consisting of circa 156 payroll clients including a mix of weekly, monthly and quarterly payrolls.

  • A rough guide/ guesstimate includes circa
  • 15 weekly's including some "do & send"
  • 3 x 4 weekly's
  • 70 x monthly including some "do & send"
  • The remaining 68 are Quarterly. Most of these are 1-2 Director payrolls. The majority of the quarterly's are also "do & send"

Within the role you will be working to set targets as follows:

  • The "do & send" weekly's to be completed by close of play Monday
  • The "do & send" monthly's to be done by the end of the first week of the month
  • The quarterly payrolls to be completed by the end of the first month of that quarter

As this is currently being achieved I am confident that for the right individual these set targets will be very reasonable and achievable..Within your portfolio you will be working with a variety of different sized clients from their largest client of circa 74 employees which will take on average 1-2 hours to complete the first draft as an experienced practice payroller. They also have a couple of other large clients with circa 60-70 employees. The rest are between 5 and 40 employees with most of the remainder being circa 5-10 employees. The largest weekly payroll has circa 29 employees which should take circa 20 minutes. Key Skills and Competencies:

  • Proven experience in payroll processing and administration
  • Strong understanding of PAYE, NI, and other relevant legislation
  • Experience with Auto Enrolment pension schemes
  • Excellent communication and interpersonal skills
  • Strong IT skills, including proficiency in Microsoft Excel and payroll software Brightpay
  • High level of accuracy and attention to detail
  • Bookkeeping knowledge/ experience an advantage but not essential
  • Ability to work independently and as part of a team
  • Relevant professional qualifications (e.g., CIPP) preferred but not essential
  • Good overall knowledge and understanding of the mechanics of payroll including pensions, subcontractor allowances etc.
