About the Role

The Detail Officer plays a vital role in ensuring the seamless operation of our services. You will oversee the day-to-day staffing of the Manston site, ensuring that daily Minimum Staffing Levels are consistently met. This role requires stringent oversight of the rostering of staff working at Manston on a 24/7 roster.

Maintaining appropriate staffing levels is crucial to MTC's commitment to providing a safe and decent environment for staff, service users, and visitors. By delivering exceptional customer support and adhering to high standards in detail-oriented tasks, the Detail Officer significantly contributes to this goal. This position demands strong communication skills and the ability to analyse information effectively. The Detail Officer will be responsible for managing customer interactions, data entry, and upselling services when appropriate.

Your main responsibilities

  • You will prepare advanced rotas to ensure staffing levels for all departments are maintained at all times, anticipate any shortfalls in the staffing and cover them using overtime, shift swaps and TOIL to ensure Minimum Staffing Levels (MSL) are achieved. This includes arranging cover for ad hoc daily absences in order to maintain MSL.
  • You will ensure absences are recorded accurately and in a timely manner, liaising with the Operational Managers and Payroll departments so staff records are precise and consistent.
  • You will manage annual leave for all staff, ensuring requests are actioned in a timely manner and recorded accurately, monitor the amount of leave outstanding and liaise with individuals to ensure they are taking adequate leave to provide sufficient rest time.
  • You will follow MTC's policies and procedures, ensuring you comply with these. Working closely with the Business Process Office and HR you will ensure all systems and records are maintained, up to date and confidential.
  • You will provide data and written reports as required in relation to, as a minimum, staffing, absence and annual leave.
  • You will work with the Business Processing Office (BPO) function, and support with all associated transactional activities required of the BPO.
  • You will focus on building positive relationships with colleagues, partners and stakeholders. Through clear communication, you will ensure that key data is recorded and that internal and external stakeholders understand our values and how we work. Care, respect and dignity will be at the heart of all your interactions.
  • You will take responsibility for your own learning and development, participating in supervision and appraisal processes, review your own effectiveness and be aware and respectful of the Health & Safety and Data Protection protocols that are essential to a secure working environment.
Qualifications and Experience
  • Experience in managing data (including sensitive data), record keeping and database management
  • Experience in scheduling a workforce with a 24/7 operational requirement
  • Experience of producing management information reports for both internal and external stakeholders
  • Experience in managing interdependent relationships within an organisation in order to fulfil staffing and resource requirements
Skills
  • Good working knowledge and understanding of data protection legislation
  • Proficient in the use of Microsoft applications such as Outlook, Excel and Teams
  • Good communication skills, both written and verbal
  • Confident in producing numerical and written reports
  • Ability to work both independently and as part of a team
  • Ability to work under pressure and to strict deadlines
  • Ability to build positive working relationships
