Overview

We are seeking an enthusiastic and proactive Office Manager to join our team clients' busy and highly successful family-run distribution company. This is a unique opportunity for an organised and hands-on professional who thrives in a fast-paced environment. You will be the central hub of their office operations, ensuring smooth day-to-day management, customer satisfaction, and efficient processes.

Key Responsibilities

As the Office Manager, you will take ownership of:

Office Management

  • Ensuring the office runs efficiently and smoothly, including managing supplies, scheduling, and general upkeep.
  • Overseeing office systems and procedures, streamlining processes where necessary.

Customer Service and Order Management

  • Handling customer enquiries with professionalism and a problem-solving mindset.
  • Processing orders and managing the order cycle, including tracking shipments and providing updates to customers.
  • Managing complaints, returns, and cancellations, and ensuring prompt resolution to maintain customer satisfaction.

Operational Support

  • Using Sage software for order processing, invoicing, and other administrative tasks.
  • Supporting colleagues and senior management with ad-hoc administrative tasks.
  • Collaborating with the distribution team to ensure seamless operations.
  • Ensuring all staff are trained on the office systems
  • Organising company events such as trade fairs, team building & Christmas

About You

We are looking for someone who:

  • Is hands-on and doesn’t hesitate to roll up their sleeves to get the job done.
  • Has strong organisational skills and thrives on multitasking in a busy environment.
  • Is a natural problem solver with a proactive approach to tackling challenges.
  • Possesses excellent communication skills and a customer-focused mindset.
  • Experience with Sage or similar business management software would be beneficial although training will be provided
  • Is detail-oriented, dependable, and able to prioritise effectively under pressure.
  • You will attend the yearly trade event on behalf of the company, and you will need to be flexible in supporting the business during the busy Christmas period.
  • The owner/ warehouse manager brings dogs into the office occasionally so you would need to be comfortable with this.

Qualifications and Experience

  • Previous experience in office management, administration, or a similar role (preferably within a distribution or logistics environment).
  • Proficiency with Sage software would be beneficial but not essential as training will be given.
  • Strong IT skills, including Microsoft Office (Word, Excel, Outlook).
  • Proven ability to manage customer queries and complaints effectively.
  • Due to location you will need to drive to get to site.
