Were looking for a Finance Assistant to join our team! In this role, you will validate sales orders in our CRM system and submit them to our finance system to raise sales orders. You will also handle raising purchase orders, managing shared service email inboxes, maintaining the time entry system, and ensure timely receipt of proof of deliveries (PODs). Your duties will include invoicing customers, handling invoice-related queries, and raising contractor invoices.

The key responsibilities for the Finance Assistant role include,

Sales Order Validation:

  • Validate sales order information and documents in Hubspot.
  • Submit validated orders to Netsuite and notify the relevant salesperson of any discrepancies.

Purchase Orders:

  • Raise purchase orders to suppliers as needed.
  • Ensure accurate and timely processing of supplier purchase orders.

Time Entry System Management:

  • Create and manage projects in TESA, our time entry system.
  • Resolve any queries related to time entries.
  • Validate timesheets for contractor invoices.

Invoicing:

  • Process contractor invoices on Netsuite.
  • Raise customer invoices and address any related queries efficiently.

Email Management:

  • Maintain and manage shared service email inboxes.
  • Resolve queries and requests promptly.

Proof of Deliveries:

  • Ensure timely receipting of supplier PODs.
  • Communicate with suppliers to receive PODs on time.

Team Support:

  • Provide support to other team members during busy periods.
  • Assist the Finance Manager in gathering audit samples.

Qualifications:

  • Previous experience in a finance assistant or similar role is preferred.
  • Proficiency in CRM systems (e.g., Hubspot) and finance systems (e.g., Netsuite).
  • Strong organizational skills and attention to detail.
  • Ability to handle multiple tasks and prioritize effectively.
  • Excellent communication skills, both written and verbal.
