Administrative Assistant

Full time (38.75 hours) but part time would be considered (min 30 hours)

£26,500 per annum FTE.

The Role

Pure Offices provide serviced offices, meeting rooms and virtual offices to over 1,000 companies in 23 locations across the UK. Pure Offices is owned by Northwood Investors and the head office team share an office with them at The Blade in Reading town centre. There is some overlap of tasks between the businesses but this role will mainly be on the Pure Offices side, working with the centre based teams, Account and Assistant Account Managers, Finance Director and Operations Director.

We require someone with excellent communication and customer service skills as well as good admin, IT and organisational skills.

The role will involve assisting the Accounts team with updating our CRM system, dealing with client and centre queries and general administration. Accuracy and attention to detail is important as our customers will be billed based on the information entered into the system.

Tasks will include:-

Updating the CRM & Accounting system following requests from the team

Managing multiple email boxes

Providing customers with statements & copy invoices/credit notes

Setting up new direct debits & updating billing information on customer accounts

Process head offices purchases

Processing business rates bills

Assisting with the downloading and preparation of reports for review and updating

Submitting meter readings and processing utility invoices or payments

Gathering receipts and reconciling the credit card for each centre

General ad-hoc administrative tasks (for the HO team, our Reading Business Centre and the facilities management team)

Training on our systems and the wider role will be provided.

You will be part of a small friendly team, who aim to always give first class customer service. So you will be a can-do person with the ability and enthusiasm to take on new tasks as they may arise and willingly turn your hand to what is necessary to ensure the smooth running of the business
