My lovely client in Reading is seeking an organised and compassionate Part Time Clinic Manager to oversee the daily operations of their holistic health clinic, which specialises in acupuncture and homeopathic treatments. The Clinic Manager will be the primary point of contact for patients and will ensure a welcoming, efficient, and supportive environment for everyone visiting or working at the clinic. This role combines front-desk responsibilities, staff coordination, inventory management, and the crucial task of preparing and dispensing remedies.

The role is working part time 15 hours per week from 8.00am to 2pm Monday, Wednesday and Thursday and from 28th August it will be the same hours but Tuesday, Wednesday and Thursday. There maybe the occasional time when staff holidays or sickness may also need to be covered.

The main responsibilities are:

  • Front Desk & Patient Relations
    • Greet patients warmly, answer inquiries, and provide information about treatments and services.
    • Manage appointment scheduling, rescheduling, and follow-up communications.
    • Ensure a comfortable waiting room environment and oversee patient flow to treatment rooms.
  • Clinic Operations & Staff Management
    • Organise and coordinate the daily activities of staff, including treatment room schedules, to maintain smooth clinic operations.
    • Oversee the rental and scheduling of treatment rooms.
    • Manage other clinic team members, ensuring that they deliver high-quality patient care and uphold clinic standards.
  • Inventory & Stock Management
    • Monitor stock levels for remedies, supplies, and office stationery; order additional inventory as needed.
    • Maintain accurate stock records, ensuring no shortages or delays in patient care.
  • Dispensing Remedies
    • Accurately prepare, label, and dispense homeopathic remedies for patients.
    • Track inventory and manage the safe storage of remedies in compliance with clinic guidelines.
    • Package and post remedies for patients when required, ensuring timely delivery.
  • Administrative Tasks
    • Maintain patient records and manage administrative tasks, including billing and invoicing.
    • Handle incoming calls, emails, and other communications professionally and promptly.
    • Assist with marketing activities as needed
  • Ideal qualifications are:
  • Strong organisational and multitasking skills, with attention to detail.
  • Excellent communication and interpersonal skills.
  • Previous experience in a healthcare or wellness clinic, preferably with a focus on holistic treatments.
  • Basic knowledge of acupuncture, homeopathy, or natural remedies is preferred.
  • Proficiency in computer applications (e.g., scheduling software, Microsoft Office).
