About the role
We are looking to strengthen our established administration team, that provides efficient and comprehensive support to the entire Thames Valley office of over 150 people, with the appointment of a new Administration Assistant.
This successful and highly valued administration team shares responsibility for widely supporting all office departments to provide record keeping and filing, note-taking, preparation of presentations and external client documents, diary and meeting room management, general administration, reception and front-of-house duties, event support and much more - crucial foundations in enabling our office to operate to its maximum efficiency.
Individuals should have excellent organisational skills, enjoy developing new working practices and be comfortable organising their own workload. We’d also expect to see evidence of superb IT skills such as fast and accurate notetaking and typing, proficient with office-based software and hardware such as all Microsoft applications and printers/scanners and filing systems or programmes, exemplary written and oral communication skills and a customer-focussed mindset - taking pride in providing your skills as a key service to multiple stakeholders.
An individual who can demonstrate initiative, is proactive and can anticipate workload would fit the role well. It’s also important that an individual brings energy and positivity that’s inherent in our wonderful administration team, presenting a professional and helpful first impression to all external clients and visitors to our office.
The position is full-time and will be based in the Thames Valley office. The successful candidate will be working collaboratively with the rest of the administration team in supporting all office departments with a variety of office administration tasks, some of are highlighted below:
- Office and team administrative support
o Preparing presentations and external client documents.
o Organising appointments, facilitation of meetings rooms and updating diaries accordingly.
o Keeping internal records and files accurate and up to date.
o Support all office departments with billing administration, client record-keeping and onboarding, etc.
o Printing, scanning and photocopying, organising and scanning incoming / outgoing post, data inputting, etc.
o Management and organisation of office supplies and associated inventory lists including office stationery, refreshments, hardware and IT equipment, etc.
- Reception and front-of-house support
o Facilitation of meeting room and facilities booking, to include adequate set-up of necessary meeting rooms for scheduled events (such as catering, technology, office supplies, etc.).
o Welcoming and accommodating visitors, guests and clients.
o Answering phone calls and email enquiries promptly and professionally - distributing internally as appropriate.
o Accountable for daily management of common areas in the office including breakout zones, meeting rooms, kitchen area, etc.
- Any other ad hoc administration, reception, front-of-house and event support required by all office departments.
Essential skills, experience and qualities a successful candidate will demonstrate:
- IT literate - highly skilful with the use of technology and applications to include Microsoft Outlook, Word, Excel, PowerPoint.
- A track record of working efficiently and effectively in another administrative position, preferably within a large office environment (100+ employees).
- Great communication skills, both written and oral.
- Excellent time management and organisational skills.
- Ability to multi-task with good attention to detail.
- Service focussed with a positive and enthusiastic outlook.
- Confident, articulate, approachable and a real team player.
