Join our client’s dynamic and busy team as a Full-Time Office Administrator within their First Responder Team. This role is perfect for organised, detail-oriented professionals who thrive in a fast-paced environment and excel in multitasking. As the first point of contact for both domestic and commercial clients, you will manage customer enquiries and ensure seamless communication between clients, engineers, and contractors.
Day-to-day of the role:
- Scheduling and Planning: Coordinate and schedule planned maintenance and reactive call-outs for clients, engineers, and contractors.
- Client Communication: Serve as the main point of contact for customers, handling queries via phone, email, and web enquiries. Maintain regular communication throughout the job process to ensure clients are always updated.
- Job Allocation: Assign tasks to the in-house engineers and third-party contractors, ensuring efficient job completion.
- CRM Management: Keep the CRM system (Simpro) up to date by managing jobs from initiation to completion.
- Invoicing: Handle job invoicing and update clients accordingly.
- Key Account Management: Manage communications with key accounts, handling complaints and special requests.
- Call Handling: Answer and direct incoming calls, ensuring a professional and friendly service.
- Administrative Support: Provide administrative assistance across the team, maintaining organisation and workflow efficiency.
Required Skills & Qualifications:
- Multitasking Abilities: Capable of handling several tasks at once in a fast-moving environment.
- Strong Time Management: Able to prioritise workload effectively to meet deadlines.
- Excellent Communication Skills: Both written and verbal communication skills must be exemplary.
