Office Administrator

Our client based in central Reading are looking to expand their team and are seeking a dedicated and detail-oriented Office Administrator to support the operations and help deliver exceptional service to clients and contractors.

As an Office Administrator, you will be an integral part of the team, assisting with the daily administration and ensuring smooth operations within the recruitment process. You will have a strong focus on contractor management, timesheet processing, invoicing for both contract and permanent placements, and ensuring accurate financial record-keeping.

Key Responsibilities:

  • Manage timesheet portals and ensure timesheets are accurately submitted and processed.

  • Handle invoicing for both contract and permanent placements, ensuring timely and accurate billing.

  • Chase outstanding invoices and follow up with clients as required.

  • Provide effective contractor management and support, ensuring contractors have everything they need to succeed.

  • Maintain accurate and up-to-date contractor and client records.

  • Use Excel to generate reports, track data, and maintain spreadsheets.

  • Offer general administrative support to the recruitment team, including handling queries and assisting with office tasks as needed.

  • Ensure all processes are completed with the highest level of accuracy and attention to detail.

Key Requirements:

  • Proven experience in office administration, ideally within a recruitment agency or similar fast-paced environment.

  • Strong experience working with timesheet portals and invoicing systems.

  • Solid understanding of contractor management processes.

  • Excellent proficiency in Excel, including working with spreadsheets and generating reports.

  • Experience with invoice chasing and managing outstanding payments.

  • Strong organisational skills with the ability to prioritise tasks and meet deadlines.

  • Exceptional attention to detail and accuracy in all aspects of work.

  • Excellent communication and interpersonal skills, with the ability to liaise effectively with contractors, clients, and colleagues.
