Lettings Coordinator - Reading

About the Role: We are on the lookout for a Lettings Coordinator who is passionate about delivering exceptional customer service. This role offers an incredible opportunity to join our rapidly expanding business and play a pivotal role in coordinating our consultants across our portfolio.

This role is full time, 9am - 5:30pm, Monday - Friday, with 1 Saturday in 4 (given back in lieu) based in a Reading Town Centre office. 

Key Duties Include:

  • Enquiry Management

    • Respond promptly and professionally to incoming phone, email, and in-person enquiries.
    • Provide accurate information about available properties, tenancy terms, and application processes.
  • Viewing Arrangements

    • Schedule property viewings with potential tenants.
    • Coordinate availability between consultants and tenants.
    • Ensure all necessary property keys and access arrangements are in place.
  • Consultant Communication

    • Act as the primary point of contact between consultants and the lettings team.
    • Provide updates on enquiries, feedback from viewings, and progress of tenancy agreements.
    • Prepare and distribute necessary documentation for consultants.
  • Administrative Support

    • Maintain and update property management databases and CRM systems.
    • Prepare tenancy agreements, reference checks, and other documentation.
    • Ensure compliance with relevant legislation, such as safety certificates and tenant rights.
  • Project Coordination

    • Oversee and coordinate lettings projects, such as property launches or promotions.
    • Track project timelines and report progress to the lettings manager.
  • Reporting and Record Keeping

    • Keep detailed records of all enquiries, viewings, and tenancy processes.
    • Prepare regular reports on key performance indicators, such as let rates and enquiry conversions.
  • Customer Service

    • Provide excellent customer service to tenants, ensuring their needs are met.
    • Handle complaints or issues promptly and escalate when necessary.
  • Team Collaboration

    • Work closely with other team members to ensure smooth lettings operations.
    • Attend team meetings and contribute to strategic planning discussions.
