Lettings Coordinator - Reading

About the Role: We are on the lookout for a Lettings Coordinator who is passionate about delivering exceptional customer service. This role offers an incredible opportunity to join our rapidly expanding business and play a pivotal role in coordinating our consultants across our portfolio.
This role is full time, 9am - 5:30pm, Monday - Friday, with 1 Saturday in 4 (given back in lieu) based in a Reading Town Centre office.Â
Key Duties Include:
Enquiry Management
- Respond promptly and professionally to incoming phone, email, and in-person enquiries.
- Provide accurate information about available properties, tenancy terms, and application processes.
Viewing Arrangements
- Schedule property viewings with potential tenants.
- Coordinate availability between consultants and tenants.
- Ensure all necessary property keys and access arrangements are in place.
Consultant Communication
- Act as the primary point of contact between consultants and the lettings team.
- Provide updates on enquiries, feedback from viewings, and progress of tenancy agreements.
- Prepare and distribute necessary documentation for consultants.
Administrative Support
- Maintain and update property management databases and CRM systems.
- Prepare tenancy agreements, reference checks, and other documentation.
- Ensure compliance with relevant legislation, such as safety certificates and tenant rights.
Project Coordination
- Oversee and coordinate lettings projects, such as property launches or promotions.
- Track project timelines and report progress to the lettings manager.
Reporting and Record Keeping
- Keep detailed records of all enquiries, viewings, and tenancy processes.
- Prepare regular reports on key performance indicators, such as let rates and enquiry conversions.
Customer Service
- Provide excellent customer service to tenants, ensuring their needs are met.
- Handle complaints or issues promptly and escalate when necessary.
Team Collaboration
- Work closely with other team members to ensure smooth lettings operations.
- Attend team meetings and contribute to strategic planning discussions.
