Office based finance administrator needed for a small and friendly team working Monday to Friday 9am to 5pm with car parking and 30 days holiday (inclusive of BH).

The role is responsible for day-to-day administration activities of the company, ensuring accurate recording and processing of all financial documents received from suppliers and selling channels/platforms. The role requires strong organizational and analytical skills, attention to detail, and the ability to work collaboratively across departments to support the financial health of the company.

Key Responsibilities for the finance administrator are

  • Financial Administration:
    • Working closely with the UK Finance Manager in the day-to-day operation of the finance department
    • Providing collaborative support to the Finance team based at oversees head office, clear and concise communication and feedback to all related queries
    • Maintaining accurate and up-to-date financial records, including accounts payable, accounts receivable and general ledger entries
    • Dealing daily with the Finance mailbox and ensuring all AP invoices are processed through Lightyear and queries dealt with promptly
    • Processing all sales invoices in a timely manner, record receipts, and payments, ensuring accuracy and compliance with company policies.
    • Monthly processing of credit card expenses
    • Identifying and report promptly on any discrepancies found in the regular processing of financial documents
  • New Customer onboarding
    • Assist in the process of onboarding new customers, process new account opening forms
    • Fill in relevant forms and follow the process end to end
    • Keep all relevant contract records and information management
  • Office Suppliers
    • Oversee relationships with vendors/suppliers for ensuring timely payments and accurate billing.
    • Responsible for the IT systems/software licenses etc and liaising with 3rd party IT providers
    • Oversee contract negotiations for electricity/water/office insurances and maintain records of all financial agreements ensuring accurate expense divisions between different departments.
    • Ensuring ample office supplies of stationery, refreshments.
    • Welcoming visitors.
  • Further Administrative Support:
    • Handle some HR responsibilities, including maintaining staff records and updating holiday and absence records
    • Collaborate with other departments to streamline financial or operational processes and ensure clear communication and workflow.

To be successful as a finance administrator:-

  • AAT Qualification desirable and relevant experience in a similar position
  • General understanding of financial principles, budgeting, forecasting, and financial reporting.
  • Proficiency in bookkeeping, accounts payable/receivable, and reconciliation.
  • High level of accuracy in managing financial records and processing transactions.
  • Effective communication with team members, clients, and other stakeholders.
  • Proficiency in financial software (e.g., Netsuite) and Excel for data analysis and financial reporting.
  • Strong ability to prioritize and manage multiple tasks efficiently.
  • Maintaining the confidentiality of financial information and records.
