Legal Practice Management Assistant

We are seeking an extremely well-organised Legal Practice Management Assistant to join our fast-growing practice. This role is ideal for an experienced Legal Secretary looking for a dynamic assistance role, managing a team of fee earners, solicitors, and administrative staff. You will also assist with accounting, financial management, HR, IT, and regulatory requirements of the firm. This position supports the Managing Partner in all aspects of practice management and compliance, contributing to the firm’s growth.
Day-to-day of the role:
- Manage and assist in the general office operations, including liaising with building concierge, stationery orders, and supplier management.
- Handle client liaison management, including onboarding formalities and AML checks.
- Manage file opening and closing processes, ensuring all files are properly managed with records of correspondence, attendances, and documents.
- Perform legal cashier duties in relation to the firm’s office and client accounts, complying with the firm’s policies and Solicitors Accounts Rules.
- Support the CFO and fee earners with matter billing, including credit control.
- Assist with the firm’s budgeting process and manage the firm’s accounting software, producing monthly management reports and profit and loss reports.
- Implement Business Development initiatives as directed by the managing partner.
- Manage personnel files, including inductions, employment contracts, grievances, and disciplinary actions.
- Assist with recruitment, appraisals, and maintaining professional development and training records.
- Ensure compliance with Employment Law and Health & Safety Legislation.
- Assist with IT management and work with internal and outsourced IT service providers.
- Assist the practice Managing Partner with risk assessment and compliance matters.
Required Skills & Qualifications:
- Degree completion required.
- Managerial experience, preferably in a legal setting.
- Strong attention to detail and basic project management skills.
- Ability to work to deadlines and under pressure.
- Self-motivated with excellent communication skills, both written and spoken.
- Fully computer literate.
