Job Purpose:

To protect and save life, property and the environment by assisting in the provision of a high quality comprehensive and pro-active service to the client by providing Occupational Health (OH) administrative support and co-ordinating the activity of the Occupational Health Team.

Main Duties and Responsibilities:

  • To maintain, record, store and supply information in accordance and legislative policy. Ensure correct receipt, processing and storage of confidential medical information. General office duties, including reception duties. Dealing with and resolving telephone enquiries or where appropriate, directing or escalating to the relevant person
  • Contribute to the development, implementation and monitoring of efficient administrative systems as directed by the manager of the service to meet service level agreements. Review existing procedures and implement streamlined working practices. Prioritise workloads ensuring the smooth running of the department. Suggesting changes to working practices to improve customer service and efficiency
  • To co-ordinate the activity of for the OH clinical team, by managing the diaries of the Consultant Physician, Service Manager and Nurse Adviser
  • To be responsible for preparation, collation and distribution of documents, information and statistics relating to Occupational Health
  • To receive invoices for payment, raising purchase orders on the finance software liaising with the finance team and service providers. Responsible for arranging meetings, booking venues, notifying participants and progress chasing. To act as OH representative on the eopas user group. Assist with implementing decisions arising from meetings, including notifications of decisions, recommendations, and changes in process to interested parties
  • Maintain personal and professional development to meet the changing demands of the job
  • Maintain stocks of stationery and supplies for the OH Service
  • Positively contribute to a safe work environment ensuring compliance with Health and Safety, Risk Management, Business Continuity and Safeguarding policy and procedure. Protect all personal information in adherence with the Data Protection Act 2018
  • Any other duties commensurate with the responsibilities and grading of the post
