Associate Coordinator Romsey £28/£30k depending on experience

We are looking for an Associate Coordinator to join the collaborative Client Services team. In this role, you will assist associates with diary management, event planning, and project coordination.

Key Responsibilities

  • Provide diary management assistance, including international travel arrangements, visa applications, vaccination/testing adherence, itinerary preparation, and timely delivery of materials.
  • Regularly review associate's schedules to ensure optimal resource allocation.
  • Coordinate with clients to organise events and execute projects seamlessly.
  • Conduct account management calls with associates to review pipeline data and define actionable plans.
  • Support sales opportunities through proposal creation, call coordination, and query resolution.
  • Collaborate with the team to distribute and manage delivery materials.
  • Schedule coaching sessions and workshops.
  • Participate in weekly pipeline review meetings.
  • Assist with larger client project preparation and delivery.
  • Submit monthly associate expense receipts, assign project codes, and address finance-related queries.
  • Draft assignment contracts for associates before work commencement.
  • Support finance data reconciliation and ensure accurate associate invoicing.
  • Host and facilitate Associate engagement sessions.
  • Provide ad-hoc off-site project support.
  • Cover telephone and office rota duties as needed.

Experience and Qualifications

  • Minimum of two years in a similar personal/executive assistant or project management role.
  • Experience in project coordination and/or management.
  • High proficiency in Microsoft Office Suite, including Outlook, Teams, Word, PowerPoint, Excel, Planner, and Forms.
  • Strong IT skills and the ability to operate across multiple platforms.
  • Educated to degree level or equivalent.
