Are you a Commercial Assistant looking for a role where you can dive straight in and work closely with the Commercial Director? We are looking for a self-starter with experience in supporting a busy commercial function:
The main aim of this position is to provide commercial oversight for recruitment operations within the company.
Key Duties:
- Set up new jobs in the system upon receiving contract start-up forms.
- Update trades and rates in the system.
- Verify payroll exports to the ledger.
- Handle sales exports and postings.
- Generate manual invoices not produced by the payroll system.
- For assigned contracts:
- Manage and administer contracts, including volume rebates and rate adjustments.
- Collaborate with internal team to ensure timesheets, trades, rates, etc., are accurate, legible, signed appropriately, and align with the contract.
- Prepare interim valuations (invoices/applications) and issue them to clients as per contract requirements.
- Ensure payment applications match the internal ledger, identifying and resolving discrepancies.
- Track the progress of payment applications, payment notices/certificates, and payment receipts, working closely with the credit controller.
- Communicate with clients to ensure timely and accurate payments.
- Identify and resolve variances between client and internal assessments.
- Report relevant figures and issues.
- Manage client-related commercial correspondence.
- Attend project meetings as needed.
- Advise project/operations teams on contractual administration issues.
- Negotiate interim and final accounts with clients.
- Ensure the commercial function meets both client and internal expectations.
- Maintain compliance with applicable standards for processes and document control.
- Interface with key internal departments (e.g., Finance and Operations) and appropriate levels in client organizations.
- Ensure all correspondence and documentation are properly filed and accessible.
- Attend necessary internal and external meetings, including project review and client meetings.
- Identify areas for improvement to reduce risk and increase efficiency.
- Participate in business improvement initiatives as required.
- Provide backup for other commercial assistants when needed.
- Perform other tasks as requested by the Commercial Director, and/or finance team.
Work Environment:
- Full-time, office-based (Ruislip).
Required Knowledge, Skills, and Experience:
Knowledge:
- Relevant experience in commercial and finance roles.
- Ideally experience within Rail, Construction, or Infrastructure.
- Contract administration expertise.
Skills:
- Proficient in computer use, with advanced knowledge of relevant systems.
- Strong written and verbal communication skills.
