: I am recruiting for a dynamic, dedicated and proactive Executive Assistant to support the directors of a growing business in both their personal and business endeavours. The ideal candidate will be highly organised, possess excellent communication skills, and be able to handle a wide range of administrative and personal tasks with discretion and confidentiality.
Responsibilities:
- Administrative Support:
- Manage calendars, schedule meetings, and coordinate appointments for the directors.
- Arrange travel accommodations, including flights, hotels, and transportation.
- Prepare and organise documents, reports, and presentations as needed.
- Handle incoming calls, emails, and correspondence, responding promptly and professionally. Filling of emails and key documents using One Drive.
- Personal Assistance:
- Assist with personal errands, such as, booking appointments, dealing with taxing cars, collating, and checking Credit card bills and invoices for various properties, insurance, visas, getting lunch etc
- Coordinate personal events and gatherings if required.
- Maintain confidentiality and discretion when handling personal matters
- Business Support:
- Assist with business-related tasks, including preparing agendas, minutes, and action items for meetings.
- Conduct research on market rents, compile data, and assist with project management as required.
- Liaise with the franchisor, property agents, suppliers, and stakeholders on behalf of the directors.
- Meeting and greeting guests into the office and ensuring smooth running of the office facilities.
Organisation and Time Management:
- Prioritise tasks and manage competing demands efficiently.
- Keep track of deadlines, appointments, and important events to ensure timely completion of tasks.
- Anticipate the needs of the directors and proactively address them.
- Communication and Relationship Building:
- Serve as a liaison between the directors and internal/external stakeholders.
- Maintain professional and positive relationships with clients, colleagues, and vendors.
- Communicate effectively and accurately on behalf of the directors, both verbally and in writing.
Qualifications:
- Proven experience as a Personal Assistant or similar role, preferably in a fast-paced environment.
- Excellent organisational skills and attention to detail.
- Strong communication and interpersonal abilities.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive information with confidentiality and discretion.
- Flexibility and adaptability to changing priorities and situations.
- Bachelor's degree preferred, but not required.
