The opportunity
Millbank is a rapidly expanding recruitment agency, and we are currently looking for a proactive and detail-oriented Group Business Support Administrator to join our team. This is a key role that will support operational functions, building and facilities management, health and safety compliance, and process improvement across the business. If you have strong organisational skills and a passion for helping teams perform at their best, this could be the perfect opportunity for you.
What you'll be doing
Administrative Support
- Provide administrative support to the Group Business Support Manager and other team members as required.
- Draft, review, and edit various business documents, including reports, procedures, and internal communications.
- Organise and maintain filing systems, ensuring that all records are accurate and up to date.
- Coordinate meetings, prepare agendas, and take minutes as needed.
Building and Facilities Management
- Oversee the day-to-day management of office buildings and facilities, ensuring high standards of safety, cleanliness, and maintenance.
- Assist in coordinating maintenance requests, repairs, and general upkeep of the premises.
- Help manage building safety procedures, including fire drills, emergency exits, and access controls.
- Liaise with external contractors for building maintenance, cleaning, and security services.
Health and Safety Support
- Assist in managing health and safety documentation, such as risk assessments and incident reports.
- Coordinate safety audits, inspections, and ensure compliance with relevant health and safety regulations.
- Support the delivery of safety training for staff, ensuring records are maintained accurately.
- Track and report on health and safety incidents and implement corrective actions when necessary.
Process Improvement and Support
- Track and document business process improvements and assist with the implementation of new procedures to enhance efficiency.
- Monitor operational performance and support process improvement initiatives.
- Assist in identifying areas for improvement and help develop solutions to increase productivity and efficiency.
Team and Stakeholder Support
- Coordinate training sessions, workshops, and other team activities.
- Provide administrative support to other departments, ensuring smooth communication and collaboration.
- Manage schedules for team members, ensuring alignment with business objectives and deadlines.
What we're looking for
- Experience: At least 1-2 years of experience in an administrative or support role, ideally within a business operations or facilities management environment.
- Organisational Skills: Strong ability to manage multiple tasks with attention to detail and accuracy.
- Communication Skills: Excellent verbal and written communication skills, able to communicate effectively at all levels.
- Problem-Solving: Proactive and solutions-oriented, with the ability to identify and address operational challenges.
- Technical Proficiency: Strong knowledge of Microsoft Office (Word, Excel, PowerPoint) and familiarity with document management tools and systems.
- Team Player: Comfortable working both independently and as part of a team to support business needs.
