Role Overview:

This position is a standalone role reporting directly to the Operations Manager, providing comprehensive administrative support to senior management and employees. The role involves handling a range of administrative tasks, with some involvement in facilities management. This is a full-time, 37.5-hour-per-week role, fully based on-site.

Job Purpose & Key Responsibilities:

General Administrative Support:

  • Draft and prepare documentation, such as NDAs and other legal paperwork.
  • Set up documents for electronic signature through DocuSign.
  • Conduct data entry tasks and basic data analysis.
  • Organise travel arrangements for staff.
  • Manage office supply orders and inventory.
  • Report facilities-related issues to the Site Team.
  • Perform additional administrative tasks as needed.

Support for the Operations Manager:

  • Assist with export and shipping documentation.
  • Communicate with couriers and logistics partners to ensure smooth deliveries.
  • Help manage PO entries, IOR processes, and related tasks.

Support for the Finance Manager:

  • Process and post vendor invoices using Xero accounting software.

Support for the Supply Chain Manager:

  • Assist with packing items for shipment.
  • Organise deliveries and collections of materials and components.
  • Help conduct stock counts and maintain inventory records.

Experience:
