We are looking for an experienced admin for one of our client in Salford

Title: Contract Admin

Location: Broadway, Media City UK, Salford, M50 2TG

Timings: 8am - 5 pm

Duration: 25/11/2024 05/05/2025

Pay: 13.33 per hour



Main Duties:

  • Providing administrative support to the Media City Contract.
  • Interfacing with multiple internal and external stakeholders.
  • Supporting the account management team.
  • Managing the process for administering attendance, sickness, absences, and annual leave.
  • Administering the system for the recruitment of new staff.
  • Administering the onboarding and vetting process for new starters, temporary workers, and subcontractors.
  • Supporting the administration of payroll, medical certificates, and starter and leaver information.
  • Administering the SHEQ process and system.
  • Attending and administering KPI/SLA performance meetings.
  • Administering the process for quotes for ad-hoc service requests.
  • Supporting the Account Management Team in producing Client Monthly/Quarterly reports.
  • Performing specific business system tasks including Coupa, raising PO's, receiving PO's, resolving invoice queries, submitting annual leave, sickness & expenses, raising ION for chargeable works, and invoicing.
  • Assisting the Help Desk and Managers with ensuring site jobs are closed in a timely manner.
  • Raising Planned Preventative Maintenance and Reactive works.
  • Liaising with Subcontractors to ensure all reactive and PPM works are closed down in accordance with SLA's.
  • Reconciling timesheets with chargeable invoicing and liaising with Payroll and management in dealing with queries.


Qualifications:

  • Understanding of FM business or similar environment
  • Able to work as part of a team and interact with Client and Suppliers
  • Excellent time management skills, able to work to deadlines
  • Working knowledge of MS Office including Excel and Outlook
  • Experience in using Planon or similar CAFM system
  • Experience in using business finance and administration systems such as SAP, Oracle, Coupa
  • Previous experience working in a high-end, fast-paced environment
  • GCSE's minimum Grade C in English and Maths
