My client is a leading facilities maintenance company, providing Planned and Reactive Maintenance to many contracts all over the UK from Residential, Commercial and Industrial. Their head office is in Scotland, and they have regional offices all over the UK. This role will be based at their Bristol office.

They are seeking an administrator/coordinator to assist on one of their Flagship residential contracts (mainly housing association). The work undertaken will be a mixture of client facing (I.e. you will act as a point of call for all enquiries) alongside ensuring all jobs/tasks are closed out, and the their in-house CRM system is kept up to date. 

In addition, you will be responsible for liaising with the engineers regarding job progress, and liaising with the contracts manager regarding costs for jobs or escalate problems or issues.

Summary of job overview:

  • Monitor out of office calls from each evening and weekend when you arrive in the office the following morning
  • Monitor the call out inbox and provide prompt replies 
  • Raise all reactive and quoted work orders that are issued
  • Monitor status of WIP and update the client
  • Complete all PPM, provide the client with the job sheet and pictures from the site visits
  • Raise all reactive jobs to approval forms to send on to Contracts Manager who will add costs or provide a quote
  • Raise quoted job in Corrigo 
  • Order parts
  • Request reports and save into sharepoint (shared access file) where applicable
  • Provide historic reports when needed
  • Work to ensure all SLA’s are met and provide data for KPIs and TCS report

Requirements:

  • Experience in working in similar environment advantageous
  • Clear communication, excellent verbal and written skills
  • Able to Multi Task and prioritise workload
  • Excellent working knowledge of Microsofts packages
  • Experience of working with Corrigo an advantage, but not essential

This is a permanent position, working Monday to Friday, 8am - 5pm (Although flexible working hours can be accommodated).
