Jon Title: Commercial Litigation SecretarySalary: £23,000 - £26,000Location: Sheffield, S10Role Overview & Daily Responsibilities:In this role, you will provide essential secretarial and administrative support to a team of Commercial Litigation fee earners. Your work will be critical to ensuring the smooth and efficient functioning of the team, assisting in the delivery of legal services in a timely manner. The following outlines your key responsibilities and tasks:Key Responsibilities:Client Correspondence:Handle various forms of communication, including emails, letters, and phone calls, from both new and existing clients. Ensure all correspondence is managed promptly, accurately, and professionally. General Administrative Support:Provide general administrative assistance to the Commercial Litigation team as required. Manage and organize case files, ensuring that they are up to date and easily accessible. Coordinate and schedule internal and external meetings, hearings, and appointments. Assist in the preparation and formatting of legal documents.Audio Typing & Transcription:Use digital dictation to transcribe notes and documents accurately. Ensure all typed documents are clear, detailed, and error-free, following legal terminology and standards.???????Calendar and Diary Management:Manage and maintain the fee earners' calendars, including scheduling meetings, hearings, and appointments. Ensure the team is prepared for upcoming events, meetings, and deadlines. Proactively adjust schedules when necessary to accommodate changes or urgent matters.???????Task Prioritization & Time Management:Effectively prioritize tasks and manage time in a busy, fast-paced legal environment. Balance multiple assignments and deadlines, ensuring that all tasks are completed efficiently and on time.??????????????Collaboration & Communication:Communicate clearly and professionally with both internal teams and external clients. Support fee earners by providing seamless administrative assistance, enabling them to focus on their core legal tasks.???????Maintaining Legal Records:Ensure that all legal records, documents, and files are accurately maintained and updated. Assist with the preparation and filing of case-related documents to ensure compliance with legal procedures. Key Skills & Qualities:High Level of Organization: You should be able to handle a wide range of tasks simultaneously, managing your time and priorities effectively. Attention to Detail: Accuracy is key in all aspects of the role, from transcribing documents to managing calendars and case files.
