We are seeking an Administrative Assistant to join our Client Facing Concierge Team within the Conveyancing Department. This role is integral to providing exceptional customer service and administrative support. The successful candidate will be based in Sheffield, reporting to the Senior Manager - Admin & Concierge Teams, and may also work across other areas of the business as required.

Day to Day of the role:
  • Communicate with clients via telephone, email, and face-to-face meetings, ensuring the highest level of customer service at all times.
  • Set up client files within the case management system and produce initial client documentation.
  • Carry out due diligence for both solicitor and client, and request necessary documentation for transactions.
  • Ensure timely return of documents from clients and work providers, following up as needed to progress transactions.
  • Log correspondence to the correct files/matters and enter data accurately into the case management system.
  • Complete tasks on the case management system and perform general administrative duties, including answering telephones.
  • Update all panel members/stakeholders within the business and referral businesses.
  • Draft sale contracts and re-mortgage documentation as required and deal with lenders on sale and purchase matters.
  • Draft completion statements and meet all key SLAs and KPIs within the department/referrers’ requirements.
  • Act as a role model in file management, actions, and behaviour, ensuring compliance with all company policies and procedures.
Required Skills & Qualifications:
  • Ability to work to deadlines with real attention to detail.
  • Computer literate with competent use of MS Office and case management systems.
  • Ability to prioritise workloads and adhere to/surpass set targets.
  • Ability to work independently and as part of a team.
  • Excellent telephone manner, client care, and enthusiasm.
  • Strong communication skills, both oral and written.
  • Minimum 1 year’s experience in an administrative role, client care/customer service environment, or conveyancing
  • Good standard of spoken and written English.
