Gap Personnel (operating as an employment business) are recruiting for our client based in Shrewsbury for an Audio PA on a temporary to permanent basis.
This role is supporting the Managing Director within the business.
Hours:
Monday - Friday 9am - 5pm (35 hours per week)
Salary
£13.46 per hour
Description and key responsibilities as an Audio PA:
- Prioritise all client communication and ensure it is actioned in a timely way and in accordance with company procedures
- Give PA support to the MD in the form of conveying telephone messages and email correspondence to him whilst out of the office.
- Actioning emails and responding to the same and finding out necessary information.
- Maintain electronic and paper diary for MD and taking full details of the appointment to include name, address and contact details.
- Sending emails on behalf of MD whether it be via dictation or message received over the phone.
- Doing digital dictation for MD for his client renewal letters, emails and also file notes etc.
- Processing Premium Payments on our Platforms
- Occasionally collating and formulating documentation in respect of claims etc.
- Maintaining Reception duties and Meet & Greet when clients/suppliers come into the office.
- Organising Cleaning Company
- Maintaining printing/photocopier Contract/Franking Machine
- Ordering of stationery to include kitchen items
- Utility Contracts and Meter Readings
- Maintaining housekeeping of the office
- Liaising with the staff on behalf of the MD
- Maintain all electronic and paper files in accordance with company standards (which should be fully compliant with FCA)
- Maintain files and records in accordance with the company’s requirements
- Maintain accurate and up to date computer records - customer data, internal records and such like
- Develop and maintain a professional working relationship with all clients and ensure expert advice in all areas of business
- Conduct all aspects of account handling for clients including new business, technical preparation, renewals, mid-term adjustments and claims
- Ensure any bad debt queries are dealt with efficiently and in line with company procedures
- Achieve and maintain a high level of customer service and promote exceptional customer care standards at all time.
- Organising and booking of Shows
- Organising Caterers etc.
- Occasionally organising personal items for the MD
- Organising Calendars and sending out to Clients.
- Any other tasks commensurate with this post.
- Taking the post daily
- Organising files for MD’s visits the next day
Qualifications and skills required as an Audio PA:
- Previous experience within audio & digital dictation - Essential
- Experience with Acturis - desirable
- Experience working as a PA - Essential
- Insurance knowledge - desirable
